With HubSpot’s scheduled workflows, you can easily set up a system to automatically send birthday emails with a special discount code, making your customers feel valued and encouraging them to make a purchase.

Steps to Set It Up

1. Create a Date of Birth Property

If you don’t already have one, create a “Date of Birth” property for your contacts. This must be a Date picker property. The HubSpot default property is a single-line text, so you will need to create a new one.

  • Go to Settings > Properties > Create a new property:
    • Object type: Contact
    • Group: Contact Information
    • Label: Birthday
    • Field type: Date picker

2. Create a Birthday Discount Email

Design a visually appealing email with a personalised birthday message and a unique discount code. Make sure the email is mobile-friendly and includes a clear call to action.

You can do this by going:

  • Marketing > Email > Create email > Automated > Design your email however you like!

3. Create a Workflow to Send the Automated Email

Now, it's time to send the automated email via workflow!

Go to Automation > Workflows and create a new workflow with "On a schedule" as the trigger. The full trigger information will be:

  • Enrol: Contact
  • Frequency: Annually
  • Date: [your Date of Birth or Birthday property]
  • Time of day: The preferred time you want to send the discount email, such as 9 am.

Ensure that you have Re-enrol turned on.

4. Add the Send Email Action

  • Press the Plus symbol to add an action.
  • Go to Communications > Send Email > Choose your Birthday Discount Email.
  • Press Save.
