How to cap your HubSpot AI credit spend before 2027
HubSpot turned spend controls on by default on 15 October. Set your account limit to a number you would sign off, give every agent its own cap, and review usage monthly.
On 15 October 2026 HubSpot announced that spend controls on HubSpot Credits are now on by default, with an account limit set at up to 50% above your monthly credits that you can change at any time. You can also cap individual features, swap seats nobody uses for credits mid-contract, and choose between prepaid credit packs and pay-as-you-go.
To cap your HubSpot AI credit spend before 2027 budgets are signed, do five things: open Account & Billing, then the HubSpot Credits tab, and read the usage by feature; set Maximum monthly credits to the number you will budget for; add a feature credit limit to every agent you run; decide what happens when a limit is hit; and put a 20 minute usage review in the calendar every month.
The money is usually small next to your seats. On HubSpot's published rates, extra credits cost US$0.010 each, so the risk is less a shock invoice and more an agent that pauses halfway through the month because nobody sized the limit.
For why HubSpot and Microsoft both moved AI onto a meter this month, read HubSpot and Microsoft just changed how AI is billed. This post is the setup: which screens, which numbers, and a routine to keep them right.
Step 1: where do you see your HubSpot credit usage?
Click your account name in the top right, then Account & Billing, then the Usage & Limits tab and the HubSpot Credits tab. HubSpot's knowledge base, updated 15 October 2026, says that screen shows:
- Your HubSpot Credits. Your monthly allocation and the account's maximum.
- Usage. Credits used so far this month, plus historical usage.
- Manage usage by feature. A breakdown by each tool that uses credits. Click a feature to see its settings, add a limit or pause it.
Pull the last three months of history before you change anything. You want two numbers per feature: a normal month, and your biggest month. Credits reset monthly on your usage period start date and unused ones do not roll over, so a quiet month does not bank anything for a busy one.
Check one more thing while you are there. If you have never bought extra credits, you only have the included allowance, and HubSpot says credit features simply pause when it runs out. The 50% default limit and any overage only start once you buy a capacity pack.
Which HubSpot features use credits, and how many?
HubSpot's Product and Services Catalog has a credits rate sheet. These are the rates for the standard seat-based pricing most Australian portals run on, at the time of writing, 20 October 2026:
| Feature | What counts as one use | Credits |
|---|---|---|
| Customer Agent (text channels such as chat and email) | One resolved conversation | 50 |
| Customer Agent voice (beta) | One minute of voice conversation | 50 |
| Prospecting Agent | Recommended outreach for one lead | 100 |
| Data Agent | A response to one prompt for one record | 10 |
| AI action in a workflow | One AI action run | 10 |
| Intent | Monitoring one company for a month | 10 |
| Content Agent (beta) | One piece of content | 1,000 |
| Revenue Agent (beta) | Payment collection outreach for one invoice | 500 |
| Data Studio (beta) | One use of a dataset in a workflow, segment, sync or export | 25 to 200, by dataset size |
Two things on that list catch people out. Content Agent at 1,000 credits a piece will eat a Professional plan's 3,000 included credits in three goes. And beta features may start using credits later: HubSpot says it aims to give 30 days' notice, but may not always manage it.
Data enrichment does not appear on the standard rate sheet. The catalog lists enriched data as part of the Core Seat.
Step 2: set the account limit to a number you would sign off
Go to the HubSpot Credits tab, find Maximum monthly credits, click Edit, set the number and click Confirm.
The default is generous. HubSpot's own example: a Marketing Hub Professional portal with 3,000 included credits buys 5,000 more, for 8,000 a month, and the default maximum is 12,000. If you were budgeting for 8,000, that default lets you spend half as much again before anything stops.
Our rule of thumb is your biggest month from Step 1 plus 15%. That gives normal growth some room and stops a runaway workflow from billing for a full month.
While you are there, check the Overage setting. HubSpot's knowledge base says purchases before 16 September 2026 default to automatic upgrade, which adds a capacity pack for the rest of your contract when you go over. Purchases on or after 16 September default to pay-as-you-go, which bills the extra in arrears and goes back to your normal limit on the reset date. Only a Super Admin or Billing Admin can turn on overages.
Not sure what your credit limits should be?
We will read your usage by feature with you and suggest a number for each agent.
Step 3: give every agent its own limit
On the HubSpot Credits tab, under Feature credit limits, click View. In the Manage usage by feature table, click a feature, then Add limit, set the number and click Save. For buyer intent you can go one level further and limit individual actions.
Three rules from HubSpot's documentation decide how you size these:
- A feature limit is a cap. It does not reserve credits for that tool. If the Prospecting Agent burns through the account limit first, the Customer Agent stops too, whatever its own limit says.
- No feature limit can be higher than the account limit. Set the account number first.
- Limits are not on by default. The 50% account default is the only control HubSpot sets for you. Every feature limit is one you add.
Size each limit from its job. A Customer Agent resolving 250 chats a month needs 12,500 credits. A Prospecting Agent researching 40 leads needs 4,000. Add 10 to 15% to each, then check the total still fits under the account limit. If you have switched an agent on to try it, give it a small limit and raise it when someone can show what it produced.
Before you raise any limit, check the credits are going on real records. Our guide to stopping HubSpot AI credits being spent on fake contacts covers the workflow that filters out junk before an agent touches it.
Step 4: what happens when you hit the limit?
When the account reaches its maximum, HubSpot pauses every feature that uses credits until the next reset date. When one feature reaches its own limit, only that feature is blocked. Either way, nothing restarts on its own until the reset date or until someone raises the limit.
Super Admins and Billing Admins get emails at 75%, 85% and 90% of the limit, and again when it is hit, along with a banner in the portal. So decide three things now:
- Who gets the alerts. Give Billing Admin to the person who owns the budget and the person who runs the agents. If your only Super Admin is a contractor or someone who has left, nobody hears.
- Who can say yes to more. Name one person who can approve a raise at 90%, and the most they can approve without asking.
- What customers see if the Customer Agent pauses. Make sure chat and email still route to a person or a shared inbox your team watches. An agent that stops on the 24th should not leave customers waiting until the reset date.
A budget table for a 100-person business
This is an illustration, not a quote. It assumes a 100-person business on Professional (3,000 included credits a month) running three agents, AI actions in workflows and intent monitoring. The usage numbers are made up to show the method. Your Step 1 history replaces them.
| Line | Example monthly use | Credits a month | Feature limit we would set |
|---|---|---|---|
| Customer Agent | 250 resolved conversations | 12,500 | 14,000 |
| Prospecting Agent | 40 leads | 4,000 | 4,500 |
| Data Agent | 300 prompts | 3,000 | 3,500 |
| AI actions in workflows | 250 actions | 2,500 | 3,000 |
| Intent | 100 companies monitored | 1,000 | 1,000 |
| Total | 23,000 | Account limit 26,000 |
Take off the 3,000 included credits and that leaves 20,000 extra credits a month, which is 20 capacity packs of 1,000 at US$10 each, or US$200 a month. HubSpot's catalog publishes credit prices in US dollars only. Converted at the Reserve Bank's rate on 19 October 2026 (US$0.6975 to the Australian dollar), that is about A$287 a month before GST, or A$316 with 10% GST added. Over a year it comes to about A$3,441 before GST, or A$3,785 with it. Your invoice may convert differently, so check it.
If you bought those 20 packs, total monthly credits would be 23,000 and HubSpot's default maximum would be 34,500. Setting it to 26,000 instead takes 8,500 credits a month of unplanned headroom off the table.

The monthly review: 20 minutes, same day each month
Book it for the week before your reset date, with whoever owns the budget and whoever runs the agents.
- Read usage by feature. Compare each feature with its limit and with last month.
- Put an outcome next to each agent. Conversations resolved without a person, meetings booked from prospecting, records the Data Agent filled in. An agent with credits and no outcome gets its limit cut.
- Raise limits one at a time, on evidence. If one agent hit its cap and the work was worth it, raise that one limit. Do not lift the account limit to cover everything.
- Check for unassigned seats. A Super Admin can swap them for credits or another seat type from Account & Billing, using Swap seats & Credits. HubSpot's knowledge base says the seat's value becomes your budget for credits, and credits cannot be swapped back for seats, so be sure first.
- Watch for new features. Anything new in the usage table that nobody switched on on purpose gets a limit or gets paused.
What could still change?
HubSpot's 15 October announcement gives no effective dates or regions, and does not say whether every account sees every option yet. At the time of writing, 20 October 2026, HubSpot also runs a separate limited release called flexible seats-and-credits pricing. Its catalog supplement is priced in euros, and on it marketing emails and most workflow actions use credits too. We could not find HubSpot saying that program is offered in Australia. If email sends show in your usage table, you are on it, and your limits need sizing around email volume as well.
