ChatGPT, Claude or Copilot: which should your business use?
Pick the AI tool that sits closest to where your work already happens, then close the personal accounts. Here is how to decide, including what Claude inside Microsoft Copilot means for your data.
Pick the one that sits closest to where your work already happens. If your business runs on Microsoft 365, start with Microsoft Copilot, because your staff already have Copilot Chat and Claude models now run inside it. If you run on Google Workspace, Gemini is already in your plan. If your real work happens in a CRM, in long documents and in analysis, a business plan of ChatGPT or Claude is usually the better daily tool.
Then check three things before you sign: what data your staff will paste in, which admin controls you need (single sign-on, user provisioning, audit logs, retention), and where the data is stored. Those decide it more than which model scored best this month.
Whatever you pick, pick one business plan and close the personal accounts. That step matters more than the choice itself.
A plain disclosure before we go on: Neighbourhood builds most of its AI work on Claude. We have tried to be fair to all three, and every claim below links to the vendor's own page.
Why are your staff already using three different AI tools?
Because nobody picked one for them. We hear a version of the same line on discovery calls every month: "there's little personal accounts going around". One person pays for ChatGPT on their own card, someone in finance uses Claude, the sales team found Copilot in Outlook, and nobody knows which customer details have gone where.
Solve that first. A personal account sits outside your control. You cannot see what was pasted in, you cannot switch off training settings for the business, and when the person leaves, the account and its chat history leave with them.
The OAIC's guidance on privacy and commercially available AI products, published in October 2024, says Privacy Act obligations apply to any personal information you put into an AI system, and recommends against entering personal information, especially sensitive information, into publicly available generative AI tools. A staff member's free account is exactly that.
Where does your work already live?
A Microsoft 365 business. Your staff already have Copilot Chat. Microsoft includes it at no extra cost with eligible Microsoft 365 plans, with enterprise data protection, and prompts are not used to train the models. What the free version does not do is read your email, Teams chats and SharePoint files on its own. That needs the paid Microsoft 365 Copilot licence (Microsoft now calls it Microsoft Copilot). On Microsoft's Australian pricing page on 8 October 2026, the Copilot Business add-on was A$31.40 a user a month on an annual plan, discounted to A$26.91 for the first year until 31 December 2026, or A$37.68 billed monthly. Those prices exclude GST, and the add-on covers up to 300 users on an eligible Business plan.
A Google Workspace business. Google now includes Gemini in its Business plans, including Business Standard, without a separate add-on. You already pay for it, so test it on real work first.
A business that runs on its CRM. If your sales, service and marketing teams spend their day in HubSpot, the CRM connection matters more than the office suite. HubSpot publishes connectors for ChatGPT and for Claude. HubSpot says its ChatGPT connector only shows each user the records they can already see in HubSpot, so check the same holds for Claude when you set it up. In our experience, people reach for ChatGPT or Claude for the long, back-and-forth jobs: writing a proposal, analysing a pipeline export, working through a 40-page contract.
Claude is already inside Copilot. What does that mean for your data?
This is the fact most comparisons miss. Anthropic is now a Microsoft subprocessor, and Microsoft turns Anthropic models on by default for most commercial customers, excluding the EU, EFTA countries and the UK. Australia is not on the excluded list, so unless your admin has changed the setting, your staff can probably choose Claude today in Copilot, Researcher, Copilot Studio and Copilot in the Word, Excel and PowerPoint apps.
Microsoft says its Product Terms, its Data Protection Addendum and its enterprise data protection apply to that use. There is one caveat to read carefully. Microsoft's own page says Anthropic models in these products "are currently excluded from the EU Data Boundary, and when applicable, in-country processing commitments". If someone in your business is relying on a Microsoft in-country processing commitment, it does not extend to the Claude models.
A separate group Microsoft labels "Anthropic models with Data Retention" runs under Anthropic's own terms, with inputs and outputs stored for up to 30 days. Those stay off until an admin opts in.
To check your own tenant, a Global Administrator or AI Administrator goes to the Microsoft 365 admin center, then Copilot, Settings, and "AI providers operating as Microsoft subprocessors". You can limit access to specific users or groups there.
So for a Microsoft business the question has changed. It used to be "Copilot or Claude?". Now it is "is Claude inside Copilot enough, or do some teams need the full Claude app as well?"

Which admin controls does a 100-person business need?
All three vendors say they do not train on business plan data by default. The differences are in the admin work, the seat limits and where the data sits. Here is what each vendor's pages said on 8 October 2026. Microsoft lists Copilot in AUD excluding GST. OpenAI and Anthropic show Australian visitors AUD prices on their pricing pages, so check those on the day you buy.

If an auditor, a regulator or a large customer's security team expects to see who did what, you need audit logs and automatic user provisioning. That usually means the enterprise tier of ChatGPT or Claude, or Copilot inside a tenant your IT team already runs. The ASD's Australian Cyber Security Centre makes the same point in its Engaging with Artificial Intelligence guidance: check that a tool meets your data residency obligations, find out whether your inputs are used to retrain the model, and know what happens to your data when the contract ends.

One thing not to choose on: whichever model topped a benchmark this week. Anthropic released Claude Opus 5.5 on 22 September 2026, Sonnet 5.5 six days later and Haiku 5.5 on 7 October. The leader changes every few months. Your admin settings, contracts and staff habits last for years.
What should staff never paste into any of them?
The same list applies whichever tool you pick, because Australian Privacy Principle obligations follow the information and stay with you as the tool changes. Keep these out unless the tool has been approved for that data:
- Customer personal information, and anything health related
- Anything a client has given you under an NDA
- Employee records
- Passwords, API keys and access tokens
- Unreleased financials

Once you have picked
Do not give everyone a seat on the first morning. Start with a pilot group chosen for their repetitive work, turn on single sign-on, switch off unapproved connectors, and measure weekly use before buying more seats. Is ChatGPT, Claude or Copilot better for an Australian business? It depends on where your work happens. Microsoft 365 businesses usually start with Copilot, Google Workspace businesses with Gemini, and businesses whose work centres on a CRM, long documents and analysis usually get more from a business plan of ChatGPT or Claude.
Can you use Claude inside Microsoft Copilot in Australia? Yes, in most cases. Microsoft turns Anthropic models on by default for commercial customers outside the EU, EFTA and UK. A Global Administrator or AI Administrator can check or change the setting under Copilot settings in the Microsoft 365 admin center.
Does Claude in Copilot keep my data in Australia? Do not assume it does. Microsoft says Anthropic models in its Copilot products are currently excluded from its in-country processing commitments, although its Product Terms and Data Protection Addendum still apply.
Do ChatGPT, Claude and Copilot train on business data? All three vendors say they do not use business plan data to train their models by default. Free and personal accounts carry different terms, which is one reason to move staff onto a business plan.
What is the biggest AI risk for a 100-person business? Usually staff using personal AI accounts for work. The business cannot see what was pasted in, cannot control the settings, and loses the history when the person leaves.
