AI consulting is working out which jobs in your business AI should take on, which it should leave alone, and what each one costs to run, then building it. We are a Brisbane team that builds on Claude, answers the security questions before anything is built, and puts the system into production with a log of every run.

We have been building revenue systems for Australian companies since 2015 and have worked with 300+ businesses. Your PM is your builder: the person who scopes the job is the person who builds it. How many Australian businesses actually use AI?

Fewer than the vendor decks suggest. The Australian Bureau of Statistics found 22% of medium-sized businesses used AI in 2024-25, up from 3% three years earlier. Large businesses went from 9% to 35%. Small and micro businesses sat at around 11%.

What does an AI consultant actually do?

A useful one does four things, in order, and you can stop after any of them. Ours run in the same order every time.

You can stop after the blueprint. If the volume is too low for AI to pay its way, that is where we say so.
What each stage hands you. The scope and dates for your engagement are agreed in writing before it starts. As a guide, a blueprint takes 3 to 6 weeks and a prototype runs 4 to 8 weeks in shadow mode, beside your team without acting on its own.

How much does AI consulting cost in Australia?

Always ask for two numbers: what it costs to build, and what it costs to run each month afterwards. AI charges per unit of work, so a system handling 200 records a month and one handling 200,000 can cost the same to make and a thousand times more to run. We work the running cost out from your own document counts and query rates and show you the monthly figure before we build. As a guide from our signed engagements, all ex GST: a blueprint runs $8,000 to $10,000 a month, a prototype $15,000 to $25,000, a build $20,000 to $50,000, and running it $8,000 to $15,000 a month. Claude usage is passed through at cost.

Monthly running costVolume, above everything else. Then which model each step uses: we use a larger model for hard reasoning and a smaller, cheaper one for routine work like drafting an email.

If the volume is too low for AI to pay its way, we will say so. Sometimes the right answer is a plain workflow with no AI in it.

Where does your data go, and who can touch it?

Most AI pilots stall the day IT asks this, so here are our answers up front.

  • Same access as the person asking. We use your platforms as authorised users with the least access the job needs, and revoke it when the project ends. Wherever the platform allows it, an agent inherits the user’s permissions.
  • A key of your own. Every client tool that uses AI gets a dedicated API key, scoped to that client. No client’s data is used to train or fine-tune any model.
  • A written action policy. Routine steps run and are logged. Sensitive ones notify a person. Anything irreversible waits for a human to say go.
  • Working copies in Sydney. Your CRM stays where your data is kept. If a tool needs a working copy of some records, it sits on a Neighbourhood server in Sydney, separate for each client, and is deleted or returned within 30 days of the engagement ending on written request.

If a system sends personal information to a model hosted overseas, that is a cross-border disclosure under Australian Privacy Principle 8, and your privacy policy should say so. Which AI do you use?

We build on Claude: commercial Claude plans for the people doing the work, and the Anthropic API behind the AI inside the tools we build. Where you run HubSpot, we also set up Breeze. Sometimes the right answer is no AI at all.

Is our data used to train the model?

No. No client’s data is used to train or fine-tune any model. Each client tool that uses AI gets its own API key, scoped to that client, and your data is not visible to any other client’s instance.

Will AI replace our team?

It takes the re-keying, the chasing and the checking. Your team grades its work before it goes live, and anything it is unsure about goes to a person first.

Do we need HubSpot?

No. The AI plugs into the systems you run: your CRM, shared drives, inboxes and documents. If you do run HubSpot, we are a HubSpot Diamond Partner and set up Breeze beside what we build on Claude.
