Connect HubSpot to Claude with HubSpot's connector, then run the same seven prompts every week: stalled deals, deals with no next activity, close dates already in the past, deals with only one contact, amounts that look wrong, what is due this quarter, and a two-paragraph summary for the team.
You need a paid Claude plan and any HubSpot subscription. The prompts that use time in stage need a HubSpot Professional or Enterprise subscription, because that is where HubSpot's stage calculated properties come in.
Keep the connector's write tools on "Needs Approval" so Claude can suggest changes but nothing moves until a person says yes.
Two minutes on closing out the old deals these prompts will find, so your pipeline stops carrying them.
Why a pipeline review needs a script
Most pipeline reviews go the same way. The manager opens the board, scrolls, asks "where's this one at?" about the deals they remember, and misses the ones they do not. The review measures the manager's memory.
Running the same questions every week fixes that, because a deal cannot hide by being forgettable. Claude is good at this part. It reads every open deal the same way each time and it does not get bored at deal forty.
Before you start
- Turn on the connector. Follow HubSpot's setup guide for the Claude connector. It works with any HubSpot tier and respects each user's HubSpot permissions, so a rep running these prompts only sees their own deals if that is how your portal is set up.
- Set write tools to Needs Approval. HubSpot recommends it, and a pipeline review is exactly where you want a human to confirm every change. The connector also caps bulk updates at ten records at a time, which is another reason to treat it as a helper and keep the clean-up decisions with a person.
- Check your pipeline name. If you run more than one pipeline, name the one you want in every prompt, or Claude will mix them.
The seven prompts
Swap in your pipeline name. Run them in order in one chat, so each answer builds on the last.
1. Stalled deals. Uses "Time in current stage", one of HubSpot's stage calculated properties.
In the [Pipeline name] pipeline, list every open deal that has been in its
current stage for more than 21 days. Show deal name, owner, stage, amount, and time in current stage. Sort by amount, highest first.
2. No next step booked.
Which open deals in [Pipeline name] have no next activity date, or a next
activity date in the past? Group them by deal owner.
3. Close dates that have already passed.
List open deals in [Pipeline name] with a close date before today.
For each, show the last activity date and the most recent note, so I can
tell whether the deal is late or dead.
4. Single-threaded deals.
Which open deals over $20,000 have only one associated contact?
Show the contact's job title for each.
One contact on a big deal is the deal most likely to vanish when that person goes on leave or changes jobs.
5. Amounts that look wrong.
Look at open deals in [Pipeline name]. Flag any with no amount, an amount
of $0, or an amount more than three times the median for that stage.
Don't change anything, just list them.
6. What is due this quarter.
Our financial year runs July to June, so Q1 is July to September and Q2
is October to December. List open deals with a close date in the current
quarter, with forecast category and deal probability. Total the amount
by forecast category.
Spell out the Australian financial year. The quarter end dates match the calendar, but the labels do not. Your Q1 is July to September, and without the context, anyone asking Claude for "Q1 deals" may get January to March.
7. The summary for the team.
Using everything above, write a two-paragraph summary of the pipeline for
the sales team. Name the five deals that most need attention this week and
say why in one line each. Then suggest updates, but do not make any.

What to do with the answers
Take the prompt 7 summary into the meeting and work through the five deals. Anything Claude suggested changing, like a close date or a deal to mark lost, the owner approves in the chat or fixes in HubSpot. Either way, a person made the call.
Once the review has run for a few weeks, the lists get shorter. That is the real result, and it is why the prompts stay the same every week.

Frequently asked questions
What do I need to run a pipeline review with Claude? A paid Claude plan (Pro, Max, Team or Enterprise), any HubSpot subscription, and the HubSpot connector for Claude turned on. Prompts that use time in stage need a HubSpot Professional or Enterprise subscription.
Can Claude change my HubSpot deals? Yes, the connector can create and update records, up to ten at a time, but it cannot delete them. Set write tools to Needs Approval so every change waits for a person to confirm it.
Will Claude see deals my reps are not allowed to see? No. The HubSpot connector respects the permissions each user already has in HubSpot, so Claude only reads what that user could see by logging in.
How do I stop Claude mixing up financial year quarters? Tell it your financial year in the prompt. For most Australian businesses that runs July to June, so Q1 is July to September and Q3 is January to March. Without that, a request for Q1 may be read as January to March.
