Move Bounced Contacts to Non-Marketing Status to Cut Your HubSpot Bill

HubSpot charges for marketing contacts, not your total database, so every unsubscribed or permanently bounced contact still sitting in the marketing tier is a real, recurring cost. This workflow moves them out automatically.

HubSpot's marketing contact pricing scales with your database. The more contacts marked as "marketing," the more you pay, regardless of whether any of them will ever open an email again. At a database of any real size, unsubscribed and permanently bounced contacts sitting in the marketing tier are a genuine, recurring cost, not a once-a-year tidy-up.

This workflow fixes it. It automatically moves any contact who has unsubscribed or hard-bounced to non-marketing status, so you stop paying for people who cannot receive your emails.

Why this is worth automating, not just doing once

Wondering how many dead contacts you are paying for?

Most portals carry years of bounces nobody went back for.

New contacts unsubscribe and bounce every week, so a one-time clean-up solves the problem on the day you do it and starts drifting again the next day. For a database of any real size, that drift is real, recurring marketing contact spend sitting on people who were never coming back. Automate it once and nobody has to remember to check again.

Setting it up

1. Create a contact-based workflow

  1. Go to Automation > Workflows in HubSpot.
  2. Create a new Contact-based workflow.

2. Set the trigger

Define your enrolment triggers as:

  • Unsubscribed from all email is equal to True, OR
  • Email hard bounce reason is known

This captures any contact HubSpot has identified as permanently unreachable, so you are not paying for them indefinitely.

If you want to handle "Spam" bounces differently from genuinely dead addresses, refine the trigger to bounce reason equals "Unknown User" specifically, and review "Spam" or less definitive bounce reasons manually before acting on them.

3. Update marketing contact status

  1. Add the "Set Marketing Contact Status" action to the workflow.
  2. Switch these contacts to "Non-marketing contact."

HubSpot only recalculates non-marketing status monthly or on your renewal date. Without this workflow running continuously, you are footing the bill for bounced or unsubscribed contacts until the next recalculation, however many weeks away that is.

What this actually saves

The saving scales with your database size and how many contacts the workflow catches each month. Check your own numbers against HubSpot's marketing contact pricing in your billing settings to see what that looks like for your business, since the exact figure depends on your tier and how many contacts move out of it, not something worth guessing at here.

Wrapping up

This is a small workflow with a compounding effect. Once it is live, your database stops accumulating dead weight in the tier you are being charged for, and nobody has to remember to go and check.

Tidied the list once and watched it fill up again?

A clean database tends to stay clean for about a quarter.

It is worth pairing with a proper look at automatically creating the lead record in the first place, so contacts arrive clean rather than needing this kind of clean-up down the line, and with the other automations worth having in place before the new financial year starts.

If your HubSpot spend does not match what your team is actually getting from it, that is usually a bigger conversation than one workflow. See what a bad CRM implementation actually costs a growing business, or get in touch about how we approach RevOps and HubSpot.
