Set your terms and numbering

Define standard payment terms, Net 30 for example, and a consistent invoice numbering system with your own prefix. Match your invoice template to your actual brand, so invoices read like they came from your business.

Set permissions properly

Financial data needs its own access rules. A sales rep might generate an invoice, but only your finance lead should be able to process a refund or apply a large discount. Set that directly in HubSpot's permissions.

Handle line items, tax and custom fields

Add specific line items with SKU codes, apply fixed or percentage discounts, and configure tax rates for your region. Custom fields let you capture a Project Reference or Purchase Order number, which a lot of B2B clients need for their own processing.

Sending, tracking and the exceptions

Once an invoice is ready, HubSpot sends it with a secure payment link and tracks its status in real time: sent, viewed, paid. A customer who has viewed an invoice five times without paying is a good candidate for a direct check-in, not another automated reminder.

For refunds and disputes, keep the record inside the CRM: issue credit memos or process a refund through the connected payment gateway, so your service team has the full picture if the customer calls.

Automate the chasing

Set up a workflow instead of a person manually sending "friendly reminders": a reminder three days before the due date, one on the due date, and an overdue notice seven days after, with a direct link to the payment portal. Automation means no invoice gets forgotten, which is one of the most common causes of cash flow problems in a growing business.
