HubSpot admin, freelancer or partner: what each costs
For most 50 to 250 person businesses, an internal HubSpot owner plus a partner for builds beats either alone. An experienced admin costs about $93,000 to $128,000 a year with super and payroll tax.
For most 50 to 250 person Australian businesses, the best answer after go live is a hybrid: one person inside the business who owns HubSpot day to day, plus a HubSpot partner for builds, integrations and the jobs your admin does not do often enough to be good at. A freelancer suits a defined job with a clear end. A full monthly partnership on its own suits a business with a busy, multi-hub portal and nobody internal with the time to own it.
On cost, an experienced CRM administrator in Australia costs roughly $93,000 to $128,000 a year once you add 12% super and payroll tax to a SEEK or Robert Half salary figure, before recruitment and leave cover. Freelancers charge by the hour or day, and we could not find a published Australian rate we trust. Partner monthly fees vary by scope, so ask any partner for a fixed monthly scope in writing and compare that.
If your portal is small, one hub, few integrations, a monthly partnership can cost more than the HubSpot licence itself. In that case train an internal owner and buy partner time per project. The rest of this guide shows the numbers, the trade-offs, and how to decide by size and portal complexity.
"I am not sure we even pay HubSpot that much"
A prospect at a consulting business said exactly that to us on 20 October 2026, when partner pricing came up: I am not sure we even pay HubSpot that much
. It is a fair point and worth answering straight.
If you run one hub, a handful of users, and HubSpot is mostly a contact list and a pipeline, you probably do not need a partner every month. You need one good internal owner, HubSpot Academy, and a partner you can call for a defined project when something bigger comes up, such as a new integration or a second hub.
A monthly partnership earns its keep when the portal does a lot of work: several hubs, integrations to finance or an ERP, workflows that route leads and create deals, reports the leadership team runs the business from, and now AI agents reading and writing records. At that point the cost of a broken workflow or a silent sync failure is bigger than the fee.

What does a HubSpot admin cost a year in Australia?
There is no SEEK salary page for "HubSpot administrator" as its own role, so we used the closest published figures, checked on 26 October 2026:
- Salesforce Administrator, SEEK. Median $110,000, with the middle half of advertised salaries between $100,000 and $120,000. It is the closest CRM admin role SEEK publishes, and HubSpot admins with integration and reporting skills compete in the same market.
- CRM Manager, Robert Half. A 50th percentile of $101,000 in Brisbane, $103,000 in Melbourne and $109,000 in Sydney, excluding super and bonuses.
- Marketing Coordinator, SEEK. Median $80,000. This is the person who often ends up running HubSpot part time in a smaller business.
SEEK's figures come from salary ranges employers put in job ads, and SEEK notes that some include super and some do not. Treat them as a guide.
Salary is the start. Here is what an employee actually costs on top:
| Cost line | Coordinator level ($80,000) | Experienced admin ($110,000) | Where the figure comes from |
|---|---|---|---|
| Base salary | $80,000 | $110,000 | SEEK medians above |
| Super guarantee at 12% | $9,600 | $13,200 | ATO, 12% from 1 July 2025 |
| Payroll tax, Queensland example at 4.75% | $3,800 | $5,225 | QRO, once total Australian wages pass $1.3 million |
| Total before recruitment and equipment | about $93,400 | about $128,400 |
Payroll tax is a state tax and the rate and threshold change by state, so use your own. At 50 or more staff, your total wages are almost certainly over the threshold in any state. We have worked it on salary only, so treat it as a minimum.
SEEK medians plus 12% super and Queensland payroll tax at 4.75%, before recruitment, equipment and leave cover.
Then add what is harder to put a number on:
- Recruitment. An agency fee if you use one, plus the weeks the seat sits empty while you hire.
- Leave cover. Full-time employees get 4 weeks of annual leave and 10 days of paid personal and carer's leave under the National Employment Standards. That is up to six weeks a year when nobody owns the portal unless you plan for it.
- Ramp-up and training. A new admin needs time to learn your portal, your sales process and why things were built the way they were.
- The HubSpot seat. Your admin needs a user with the right permissions, which may mean a paid seat. Our guide to what HubSpot costs in Australia in 2026 covers seats and licences.
Admin, freelancer or partner: how do they compare?
| In-house admin | Freelancer | HubSpot partner, monthly | |
|---|---|---|---|
| Cost a year | About $93,000 to $128,000 with super and payroll tax, plus recruitment | Hourly or day rate. We found no reliable published Australian figure | Varies by scope. Ask for a fixed monthly scope in writing |
| Coverage | Business hours, minus about six weeks of leave | When they are free, often juggling several clients | A team, so leave and sick days are covered |
| Depth across hubs | Usually strong in one hub, learning the others | Often a specialist in one area | People who work across Sales, Marketing, Service, Content and Data Hub every week |
| Integrations | Marketplace apps, rarely custom code | Depends entirely on the person | Marketplace apps, integration platforms and custom code against the APIs |
| AI | Can switch on HubSpot's AI features, rarely builds or tests agents | Varies | Should be able to plan, build and test agents and control their costs |
| Knows your business | Best of the three | Only what you tell them | Good, if the same people stay on your account |
| Risk when the person leaves | High: the knowledge walks out the door | High: one person, often with no handover notes | Lower: the partner keeps notes and replaces the person |
The in-house admin wins on knowing the business. The partner wins on depth and cover. The freelancer wins on price per job, and loses on continuity.
Not sure which support model fits your portal?
We will look at your hubs, integrations and team and tell you which one we would pick, including when it is not us.
Which one should you pick, by company size?
Size is a rough guide. Portal complexity matters more: count your hubs, your integrations, and how many teams depend on HubSpot reports to do their job.
| Your situation | What we would usually suggest |
|---|---|
| Under 50 staff, one hub, no integrations beyond the marketplace | An internal owner with a few hours a week set aside, HubSpot Academy, and a partner or freelancer per project. A monthly partnership is hard to justify here. |
| 50 to 150 staff, two or three hubs, one or two integrations | The hybrid: a part-time or full-time internal owner plus a partner on a small fixed monthly scope for builds, integrations and fixes. |
| 150 to 250 staff, several hubs, an ERP or finance integration, AI agents | A full-time admin or RevOps lead in house, plus a partner for integration work, AI builds and cover. One admin alone is a single point of failure. |
| Any size, nobody internal has time or interest | A monthly partnership with a named person and an agreed scope, and someone internal who signs off changes. |
| A defined job with a clear end, such as a set of email templates or a one-off data clean | A freelancer can be the right buy. Agree the deliverable, get documentation, and keep admin access in your name. |
Whoever does the work, someone inside the business has to own the decisions. Our guide to who should own your CRM as your team grows covers that role.
Why the hybrid model is often the right answer
An internal admin is cheaper per hour and knows the business. A partner has more depth and never goes on leave. The hybrid gets you both, and it stops you paying partner rates for jobs an internal person can do in ten minutes.
The split we see when the hybrid works. Your admin keeps the day to day and the partner takes the builds.
Here is how we see the work split when it goes well:
- Your admin owns: new users and permissions, list and view requests, small report changes, form edits, data hygiene, and training new starters.
- The partner owns: new integrations and sync failures, workflows that touch several teams, new hubs, custom objects, AI agents and their testing, and anything that needs code.
- Both: a short fortnightly or monthly call, one shared list of requests, and written notes on every change, so nothing depends on one person remembering it.
Our list of HubSpot maintenance tasks worth handing to someone else goes through which jobs sit better with a partner.
What to ask before you sign anything
For a partner on a monthly partnership:
- What is in the fixed monthly scope, in writing, and what happens to hours you do not use?
- Who is the named person on our account, and who covers them on leave?
- How fast do you respond to a broken workflow or sync, during AEST business hours?
- Do we own every change log and document if we leave?
For a freelancer:
- Which HubSpot certifications do you hold, and can we speak to two current clients?
- Will you work under your own user, with no shared logins?
- What do we get in writing when the job is done?
For an in-house hire:
- Have they run integrations and reporting, or only marketing emails?
- Who covers the portal during their leave?
- What happens to their knowledge if they resign, and where does it get written down?
If you already have a partner and it is not working, our guide to switching HubSpot partners without losing momentum covers the handover.
What about NBH's prices?
We publish two figures. A HubSpot implementation with us starts from about $7,000 plus the HubSpot licence. For custom AI systems we build and then run, our published run cost is $8,000 to $15,000 a month ex GST, which covers far more than HubSpot admin and is a different kind of work.
We do not publish a monthly fee for HubSpot support because it depends on the hubs, the integrations and how much your own team does. We agree a fixed monthly scope up front, so a small change stays a small change, and we will tell you on the call if an internal admin is the better buy.
Frequently asked questions
How much does a HubSpot admin earn in Australia? SEEK has no separate HubSpot administrator page, but its closest CRM admin role, Salesforce Administrator, shows a median of $110,000. Robert Half puts the 50th percentile for a CRM Manager at $101,000 in Brisbane and $109,000 in Sydney, excluding super.
Should I hire a HubSpot admin or use an agency? If HubSpot is one hub with few integrations, an internal owner plus project work from a partner usually costs less. Once you run several hubs, finance or ERP integrations, or AI agents, most businesses do better with an internal admin plus a partner for builds.
Is a HubSpot freelancer cheaper than an agency? Per hour, often yes. The risks are cover when they are unavailable and losing what they know when they move on, so agree written documentation and keep admin access in your own name.
How much does a HubSpot partner cost per month? It varies by scope, and many partners do not publish a monthly fee. Ask for a fixed monthly scope in writing that lists what is included, the response time and the named person.
What does an employee cost on top of salary in Australia? Super guarantee at 12% of ordinary time earnings, payroll tax once your total wages pass your state's threshold, plus recruitment, equipment and cover for 4 weeks of annual leave and 10 days of personal leave.
