How to choose who builds Claude into your HubSpot
Whoever builds Claude into your business is building on your CRM. Here's how to tell if a firm knows both, the red flags to watch for, and the questions to send them.
If your customer data lives in HubSpot, then whoever builds Claude into your business is really building on top of your CRM. That means they need to know both well. In our experience most firms are strong in one and learning the other, and you usually find out which one halfway through the project.
This post helps you work out what kind of help you need, what to look for in the firm, and what to send them before you sign. There's a quick picker below, and a list of questions you can copy straight into an email.
Start with what you actually need
"We want AI in HubSpot" covers very different jobs, and they need different skills. Pick the one closest to yours:
Rolling Claude out to your team
What it usually is. A Claude Team or Enterprise plan, HubSpot's connector so people can ask questions about their records, sensible permissions, a one-page policy and some training. Usually the smallest of the three jobs.
The skills that matter. Knowing how HubSpot permissions work, because Claude sees what each person can see. Setting up Claude's admin controls. Getting people to actually use it.

A workflow or agent inside HubSpot
What it usually is. Something built on the Claude API that reads your HubSpot records, does a job, and writes the result back: a call summary, a quote, a lead score, a follow-up drafted for a person to check.
The skills that matter. Your HubSpot data model, the API, testing against real records, and knowing what each run costs. The biggest risk is write access, so ask how they limit what it can change.

Fixing the data first
What it usually is. Cleaning up properties, pipelines and duplicates so the records mean what they say. AI working from messy records gives you confident, wrong answers.
The skills that matter. Plain HubSpot depth: data models, reporting, and getting a team to agree how a deal should move. Do this before either of the other two.

Pick one to see what it involves.
Plenty of businesses need all three in that order: fix the data, give people Claude, then automate the jobs that are worth it. A good firm will tell you if you're starting at the wrong end.
What to look for in the firm
Four things separate a firm that can do this well from one that's learning on your portal:
- HubSpot depth. They talk about your properties, permissions and pipelines before they talk about AI.
- Claude depth. People on the team have passed Anthropic's certification exams for Claude, and they can show you something running in production. Our explainer on the Claude Partner Network covers what the program tells you.
- A straight answer on data. Where your records go, where they're processed, and whether anything is kept. Our post on where Claude runs from has the questions.
- A plan for after launch. Who maintains it, who you call when HubSpot changes a field, and what it costs to run each month.
If a firm is strong on the first two but vague on the last two, that's usually a sign they've built demos rather than systems people rely on every day.
Working out who should build it?
Most of the hard questions are about HubSpot, not the AI.
Red flags worth walking away from
-
They demo before they've looked at your portal.
A demo on their sample data proves the tool works. It says nothing about your records, your permissions or your team.
-
They can't tell you what it costs to run.
Every call to Claude costs money. Anyone who has built one of these knows roughly what yours will cost a month.
-
It gets write access to everything in the first week.
Start read-only, prove it on a small group, then widen it. A firm in a hurry to skip that step is a risk to your data.
-
One person sells it and someone else builds it.
Details get lost in that handover, and you end up explaining your business twice.
The questions to send before you sign
Copy these into an email to anyone you're considering. How they answer tells you as much as what they say.
- Who will actually build this, and which of Anthropic's certification exams for Claude have they passed?
- Can you show me something you've built that's running in production today?
- What will it be able to read in our HubSpot, and what will it be able to change?
- Where is our data processed and stored, and is any of it kept?
- Roughly what will it cost to run each month once it's live?
- Who maintains it after launch, and what happens when HubSpot changes?
- Can I speak to a client you've done this for?
Where we fit
We're a Diamond HubSpot Partner and Certified in the Claude Partner Network, so this is the overlap we work in every day. The people who scope a project here are the people who build it. If you'd like to see what that looks like, our Claude for business page covers plans, costs and data, and AI engineering covers what we build.
Whoever you go with, send them the seven questions. A firm that's done this before will be glad you asked.
Frequently asked questions
Can Claude connect to HubSpot? Yes. HubSpot has a connector for Claude, and Claude only sees the records the signed-in person is allowed to see in HubSpot. Custom builds connect through the HubSpot and Claude APIs.
Do I need a HubSpot partner or an AI firm? For anything that reads or writes your HubSpot records, you want both skills in the same team. Ask each firm to show you work that used both.
Should we clean up HubSpot before adding AI? Usually, yes. AI working from messy properties and duplicate records gives confident, wrong answers, so fix the data that the AI will rely on first.
What should a Claude and HubSpot project cost to run? It depends on how often it runs and which Claude model it uses. Any firm that has built one should give you a monthly estimate before you start.
