How to See Which HubSpot Lists Are Actually Doing Something and Which Are Dead Weight

HubSpot's Used in tab tells you a list is connected to a workflow. It does not tell you whether the list is doing anything. Stamp the source list onto the record and report on it.

Step 3: Build the Custom Report

Now that the data is living on the Contact or Deal record, you can actually see it in a chart.

  • Navigate to Reporting > Reports > Create report > Custom report.
  • Select Contacts (or your primary object) and Workflows as your data sources.
  • For your X-axis, use your new Active Source List property.
  • For your Y-axis, use Count of Contacts or Workflow Enrolment Date.

Step 4: Filter for accuracy

To keep the report clean, add a filter where Active Source List is known. This removes any records that entered workflows through manual enrolment or other triggers, leaving you with a clean view of your list-driven performance.

The same report doubles as an audit trail

Most portals carry hundreds, and nobody remembers building them.

There is a second reason to know which lists are moving contact data around. Under the OAIC's Notifiable Data Breaches scheme, a suspected eligible breach has to be assessed within 30 days, and where serious harm is likely, reported to the OAIC and to the people affected.

That assessment asks what data was where. Answering it is a different job when you can point at a stamped property on the record and say which segments and workflows a contact was actively moving through, rather than working backwards through a list library nobody has audited in years. The report you just built is that answer, ready in advance.
