Can Claude check your HubSpot workflow before you turn it on?

Screenshots, one prompt and ten minutes, before the workflow enrols a single real contact.

Yes, and it takes about ten minutes. Screenshot the enrolment triggers, the Settings tab and every branch of the workflow, paste them into Claude with the prompt below, and ask it to find the ways the workflow could enrol the wrong people, keep people in forever, or email someone who never agreed to hear from you.

Claude reads screenshots well, so you do not need an export or a developer. The HubSpot connector for Claude works with records such as contacts, deals and tickets, and it does not open workflows, so the screenshots are how Claude sees your logic.

It will not replace a test enrolment. What it does is catch the logic mistakes before you get there, which is the cheap moment to catch them.

Why check a workflow before it goes live?

Because the expensive mistakes happen at the moment you click Turn on. Enrol every existing contact who already meets the trigger and your nurture email goes to the whole database at once. Pick a property-based re-enrolment trigger on a field that updates every day and the same person gets the same email every day.

HubSpot gives you the controls to prevent all of this. By default a record only enrols the first time it meets the triggers, and the Settings tab on the enrolment trigger is where you add re-enrolment, suppression lists and unenrolment conditions, as HubSpot's guide to workflow enrolment settings explains. The controls only help if someone reads them together with the branches, and that reading is the part Claude is good at.

What do you give Claude?

  1. The enrolment trigger panel. Every filter group, with the AND and OR logic visible.
  2. The Settings tab. Re-enrolment, suppression lists and unenrolment conditions.
  3. Every branch and action. Zoom in until the text is readable. Split a long workflow across several screenshots, top to bottom.
  4. One sentence on intent. "This should send a two-email welcome series to new customers in Australia who bought in the last 30 days." Claude can only tell you the workflow is wrong if it knows what right looks like.

Crop out any record previews before you upload. The logic is what Claude needs, and the logic does not contain customer names. Claude's help centre lists the file types and upload limits if you are working with a very long workflow.

If your team is comfortable with the API, HubSpot's v4 automation API can return a workflow as JSON, and Claude reads that even more precisely than a screenshot. It is in beta, so screenshots are the reliable route for most people.

Check it and report back in this order:

1. Enrolment. Who will this actually enrol? Name any group
   that meets the triggers but should not be in it, and any
   group we meant to include that the triggers miss.
2. Re-enrolment. Can the same record enrol again? If yes, what would make that happen, and how often could it repeat?
3. Getting out. What removes someone from this workflow?
   Is there a goal or unenrolment condition? If a contact
   buys, books or replies halfway through, do they keep
   getting emails?
4. Branches. For every if/then branch, what happens to a
   record that matches none of the conditions?
5. Timing. Any delay that could fire outside business hours
   in AEST, or after the offer it mentions has ended?
6. Consent. List every action that sends a marketing email
   or SMS. For each one, what in the triggers or filters shows
   the person agreed to receive it?
7. Assumptions. Any property, list or email the workflow
   depends on that I should confirm exists and is filled in.

Be specific. Quote the step you are talking about. If
something is fine, say so in one line and move on.

What Claude tends to find

The same handful of problems come up again and again. A branch with no path for records that match nothing, so they sit at the end of the workflow and never get an email. A delay followed by an email with no check that the person is still a prospect. Re-enrolment switched on for a field that updates every time someone opens an email. A filter on a property that exists but is empty for most of the database, so the workflow enrols almost nobody and nobody notices for a month.

Does your workflow pass the Spam Act?

This is the check most teams skip, and it is the one with a regulator attached. Under the Spam Act 2003, a commercial email or SMS needs the person's consent, has to identify you as the sender, and needs an unsubscribe option that is honoured within five working days. The ACMA's guide to avoiding spam also makes the point that matters most here: it is up to you to prove you have consent.

Question six in the prompt is there for this reason. If Claude's answer to "what shows this person agreed?" is "nothing in the triggers", you have a workflow that sends marketing to anyone who ends up in a list. Add a filter on the consent or subscription property you actually record, or keep the workflow to one-to-one sales email, which is a different conversation with your lawyer.

Inferred consent is narrower than most people assume. A business card from a trade show is not a licence to put someone on a weekly newsletter.

Where Claude's review stops

Claude sees a picture of your logic. It cannot see how many records meet the triggers, whether the email content is right, or what your data actually looks like. After it signs off, enrol two or three test contacts, walk them through every branch, then turn it on for real.

Frequently asked questions

Can Claude read my HubSpot workflows directly? Not through the HubSpot connector for Claude, which works with CRM records such as contacts, companies, deals and tickets but does not open workflows. Screenshots of the triggers, settings and branches work well, and teams comfortable with the API can export a workflow as JSON through HubSpot's v4 automation API.

Is it safe to paste workflow screenshots into Claude? Workflow screenshots usually show logic and property names, not customer data. Crop out any record previews or contact names before uploading, and follow your own AI policy on which tools staff may use for company information.

Does a Claude review replace testing the workflow? No. Claude checks the logic from screenshots. It cannot see your records or your email content, so enrol a few test contacts and walk them through every branch before turning the workflow on.

What does the Spam Act require of a marketing workflow? Every commercial email or SMS needs the recipient's express or inferred consent, must identify you as the sender, and must include an unsubscribe option that is honoured within five working days. The sender carries the burden of proving consent.
