Stop Typing Call Outcomes Twice: Sync Aircall Tags Straight Into HubSpot

Your team tags the call in Aircall, then someone is meant to record the outcome again in HubSpot. Map the tags across once and the second job disappears.

Your team already records the outcome of every call. They do it in Aircall, with a tag, while the call is still fresh. Then someone is supposed to open HubSpot and record it a second time, and that is the version your connect rate and your reporting are built on. No prizes for guessing which one gets skipped on a busy Thursday.

Aircall is already sending the tag across. You just have to tell HubSpot where to put it.

Steps to Set Up

1. Set Up Your Call Outcomes in HubSpot

  • Go to Settings > Calling > Call Setup.
  • Next to “Track Call Outcomes,” select Edit Options.
  • Add any custom call outcomes you want to use and report on.

2. Connect Aircall Call Outcomes to HubSpot (for connect rates)

  • You’ll need Admin access for this step.
  • Make sure the HubSpot integration is installed and connected successfully.
  • In the Aircall Dashboard, go to Integrations & API > HubSpot.
  • Under the Settings tab, map Aircall outcomes to HubSpot’s standard call outcomes.

How many conversations end with no outcome logged?

Nobody skips the conversation, they skip the logging after it.

3. Connect Aircall Tags to Custom Call Outcomes (for customer sentiment)

  • Add custom call outcomes in HubSpot, like “Interested,” “Not Interested,” or “Call Back Later.”
  • In the Aircall Dashboard, go to Integrations & API > HubSpot > Settings.
  • Scroll down to Event Outcome (below the Call Outcome settings).
  • Map your Aircall Tags to the appropriate HubSpot Call Outcome fields.
  • Hit Save.

Pro Tip: This will override standard call outcomes, so think carefully about what type of reporting is most important to you before making changes.

Two things to check before you map sentiment tags

The first is recording. The notice you hear at the start of a recorded call is there because of state surveillance devices law, the NSW Surveillance Devices Act 2007 among them, so that notice and consent step has to already sit upstream of Aircall. This setup only decides where the tag ends up afterwards, and it inherits whatever process you already have.

The second is what the tag becomes once it is in the CRM. “Not Interested” written against a named person is personal information, and Australian Privacy Principle 11 makes you responsible for keeping it secure. Check who can see call outcomes in your portal, and do not put anything in a tag you would not want that contact to read back to you.

With this setup, you’ll cut out tedious admin work, improve reporting accuracy, and give your team more time to focus on what really matters, closing deals, solving customer problems, or just making it through the day.

Once the outcomes are arriving correctly, you can build on them. Triggering sequences from call outcomes is the obvious next step, and turning sales calls into automated workflows takes it further.
