HubSpot can send a CES survey the second a ticket closes, while the customer still remembers how hard it was. Decide how long you are keeping the free text answers before you switch it on.
Customer Effort Score asks one question: how much work was that for you. Asked the moment a ticket closes, you get the honest answer instead of the polite one a fortnight later. Feedback Surveys are part of what Service Hub actually includes and who it's for, so if you are on Service Hub Professional or above, this is already sitting in your portal.
Steps to Set It Up
Step 1: Create your CES survey
- In HubSpot, go to Service > Feedback Surveys
- Click Create Survey
- Select the Customer Support (CES) survey template. It’s ready to go and easy to customise
- Personalise the questions, branding, and wording to fit your business tone
What happens after one of your tickets closes?

Step 2: Set delivery and automation rules
- Choose to send the survey via email
- Set the trigger to send when a ticket is closed
- Adjust timing to your preference: send immediately, after an hour, or the next day
- Configure notifications so survey results go to:
- Contact owner
- Ticket owner
- Any other relevant team members

Step 3: Analyse and act on results

Step 4: Decide how long you keep the answers
The score is a number. The comment box is free text, and customers use it to explain what happened to them, which regularly includes personal information about their own circumstances. That brings the responses under the Privacy Act, and APP 11 asks you to protect that information and to destroy or de-identify it once you no longer need it (OAIC).
So make the retention call now, while you are building the survey, rather than two years into a dataset nobody wants to be the one to delete. Pick a period you can defend, note it in the survey's internal description, and give one person the job of clearing anything older.
